Here is an example of how an global industrial enterprise uses IntraFind iFinder to make several company portals searchable in a smart way.

How iFinder helps a global enterprise: A central search solution for multiple corporate portals

The technology company is using a new central search solution in the cloud to make several company portals searchable as separate search tenants in a comprehensive and scalable manner. All source systems are connected to a central, vectorized search index and provide the integrated basis for a wide variety of usage scenarios: as a central corporate search (as a standalone application) and integrated into portals such as the partner portal or an internal standards and guidelines database. The goal is to consolidate Internet/Extranet/Intranet search in a single index instance. The search solution is operated in a hyperscaler data center in Germany, managed by IntraFind. The data is indexed in the central cloud location in Germany and automatically replicated with low latency to other cloud locations worldwide. This saves the group unnecessary parallel index pipelines and avoids the risk of data discrepancies between cloud locations.

What is a search tenant?

A search tenant in an enterprise search solution refers to an organizational or technical unit within the search system that enables multiple independent areas (e.g., subsidiaries, branches, web portals) to operate on the same platform without mixing data or configurations. Each tenant has its own data sources, users, permissions, and search configurations.

The following tenants are indexed in the central solution:

  1. Partner portal
  2. Cross-functional web applications – merging of the Internet website, extranet, and marketplace areas
  3. Workplace Search (integrated into the digital workplace, e.g., SAP Work Zone) with data from the social intranet, Confluence, SharePoint, and internal special applications such as a QM system. 

1. Partner Portal 

The company already successfully uses SAP Work Zone as a global social intranet and would like to use this tool as a global customer portal and collaboration platform. As a central search application, iFinder delivers the search content via public API. This enables the company to implement search-driven applications (widgets) in SAP. For example, widgets have been created that enable searches, including autocomplete, across the product landscape or training materials.

2. Cross-functional web applications – merging the areas of internet website, extranet, and digital marketplace

Within this project, the company website, the current extranet, and the digital marketplace (web shop) are being merged into a uniform, customer-centric web user interface. This standardizes the information architecture, navigation, search, services, and personalized customer offers to provide customers with a seamless end-to-end digital customer experience. iFinder, which was already used as a search engine on the individual applications, also provides the search function on the new cloud solution. The search is available worldwide and, with a new customer-specific UI, delivers the proven functionalities such as AutoComplete, filters, and—where necessary—authorization-based search in a visually revamped design.

3. Enterprise Search for the digital workplace

Corporate Search is available to around 10,000 employees as a central search solution (via single sign-on) for the intranet. In addition to SharePoint (online, on-premises), sources such as SAP Work Zone, Confluence, Azure people profiles, and various databases (e.g., DMS) are indexed centrally.
